Plain-language summary of what Steadyfile LLC collects and why. Draft for attorney review before launch.
What we collect
- Public records. Building addresses, sizes, owners, managing agents, filing records and city violations, from government open-data sites. We use them to find buildings that must report and to write to them.
- What you give us. Your name, company, email and phone; your building's floor area, use and utility account numbers; the bills you upload; and your typed signature on the data authorization, with the date and the internet address it was signed from.
- Energy data. Monthly energy and water use from your utilities, which you authorize us to request.
- Payments. Stripe processes cards and bank payments. We never see or store card numbers.
- Visits. When a building page opens, we record that it opened and the browser type, to know whether our letters are useful. We don't use advertising cookies or trackers.
How we use it
To prepare and file your benchmarking reports, send you proof of filing, remind you about deadlines and renewals, and answer your questions. We share your building's data only with the parties the filing needs: your utilities, ENERGY STAR Portfolio Manager, and the city or state that requires the report.
Service providers
We use a few companies to run the service, under their confidentiality terms: Render (hosting), Stripe (payments), Lob (printing and mailing letters), Google (email) and Anthropic (reading the bills you upload). We don't sell or rent your information to anyone.
How long we keep it
Filing records and proofs are kept for at least three years after each filing, because cities ask owners to keep them. You can ask us to delete your account and data when you stop using the service; we'll keep only what the law or an open filing requires.
